ESU #3 is looking for an individual with a positive attitude and strong work ethic to join our Student Services team as an Administrative Assistant to the Director.
Strong candidates for this position will have prior administrative assistant experience, with a background in Human Resources (preferred). The mission of the ESU #3 Student Services department is to provide outstanding support and service to the students, educators, and school districts we serve. We are looking for a team-player who:

- Regular and dependable in person attendance is required and is considered a condition of employment. The assigned duties of this position may allow consideration of occasional/infrequent remote work with the approval of the supervisor.
Essential Responsibilities:
- Perform administrative assistant duties for the Executive Director of Student Services and other designated department staff such as maintaining information, records, files and preparing reports for administration.
- Provide support to the Executive Director in all Human Resources processes and paperwork, such as hiring and onboarding paperwork, staff calendars and leave, and all employee documentation required by ESU #3.
- Manage appointments and scheduling for the Executive Director of Student Services and assist with completion of registrations, travel arrangements and correspondence.
- Works as part of the team to manage the department’s needs, including day to day processes and assisting employees and stakeholders with questions and concerns.
- Establish and maintain interpersonal relationships with supervisors, peers, colleagues from other departments, and ESU stakeholders.
- Support recruitment of quality staff for open positions within the department and at Brook Valley School, including promotion of open positions through various media, attendance at relevant recruitment events, and through establishment of partnerships with organizations and agencies in the community.
- Coordinate interviews with prospective employees/ESU staff and facilitate the use of electronic hiring and evaluation software.
- Manage employee documentation for the Medicaid in Public Schools program, including Medicaid website registration, NPI numbers, and ensuring compliance of staff with time survey and service documentation.
- Assist with event planning and execution such as scheduling, materials, hospitality and communication.
- Type, handle and process confidential and official documents of ESU #3, agreeing to keep ESU and School District confidentiality matters confidential.
- Maintain an up to date list of all Student Services staff including their contact information and job descriptions, and track all changes to calendars, positions, etc.
- Communicate important information to the department and the ESU as a whole, as directed by administration, including emails, memos, infographics, and ESU clipboard.
- Assist with the Student Services website updates, ensuring accurate and professional information is projected.
- Work independently on assigned projects and tasks and take initiative when a problem arises, asking for help and clarification when needed.
- Organize, plan and prioritize daily work, developing specific goals and using time management strategies to accomplish work.
- Understand and comply with the ESU #3 Board of Education Personnel Policies and Employee Handbook.
