Immediate Supervisor(s): Assistant Director of Professional Learning and the the Executive Director of Professional Learning

Immediate Work Supervisor:  Professional Learning Administrative Assistant Support Supervisor

 

Essential Requirements: (Education, Certification, Extended Experience, Technical Skills) 

  1. Post-high school training; degree preferred. 
  2. Excellent clerical skills, including proficient computer skills across platforms & a capacity to learn relevant and new applications. 
  3. Excellent verbal & written communication skills with a service-oriented attitude.  
  4. Capacity to take direction & yet work with minimal supervision. 
  5. Basic accounting skills.
  6. Relevant experience required; experience in an educational setting preferred.  
  7. No history of child abuse or negligence.
  8. Successfully pass required background checks.
  9. Regular and dependable in person attendance is required and is considered a condition of employment.
  10. The assigned duties of this position may allow consideration of occasional/infrequent remote work with the approval of the supervisor. Remote work is subject to the remote work guidelines and conditions outlined in the job description. The supervisor may withdraw the remote work option at any time.

 

Essential Responsibilities and Job Tasks: 

 

General Summary:  The primary responsibilities of this role support the programs and staff in the delivery of professional development services to and for school districts.

 

  1. Understand and comply with the ESU #3 Board of Education Personnel Policies and Employee Handbook.
  2. Coordinate with the High Ability Learner (HAL)/Assistant Director in the organization, management, and support of HAL.
  3. Manage all HAL clerical and accounting workflow of workshops (HAL Contracts, registration, advertisement & production, and assist with workshop calculations, materials ordering & processing, billing, profit/loss records). 
  4. Manage all clerical and accounting workflow of non-contracted PLD workshops and events (registration, advertisement & production, and assist with workshop calculations, materials ordering & processing, billing, profit/loss records).
  5. Manage account and workshop registration system (e.g., IRIS)
  6. Coordinate and support PLD (and ESU3) events to completion (planning and preparation, greeting participants, sign-in participants, check-in throughout the day to ensure positive and successful events, etc.)
  7. Provide requested information for program evaluation surveys.
  8. Manage all aspects of production (records, reports, reconciling accounts, journal entries, invoicing, billing management). 
  9. Monitor and respond to overdue invoices (review overdue invoices each month, communicate the monthly status of overdue invoices with the Executive Director of Professional Learning, and notify customers of overdue invoices and resolving payment issues as requested by the Executive Director). 
  10. Provide customized professional learning department staff projects for programs & services.
  11. Manage PLD correspondence, mailings and mail distribution, filing and organizing Administrative support materials.  
  12. Provide assistance and support as needed or assigned to the Conference Center Coordinator, the front desk assistant, and overall function of the Conference Center (workshops, presenters, registrations, hospitality, and technology). 
  13. Work directly with the Administrative Assistant Support Supervisor to ensure the Professional Learning Department is supported. 
  14. Other duties and support as assigned by the Assistant Director and/or the Executive Director of the Professional Learning Department.  

 

At-Will Employment:Employment with ESU #3 is not for any period of time, and employment may be terminated at any time at the convenience of the terminating party, with or without cause, and with or without notice.  Employment with ESU #3 is not governed by any express or implied contract of employment containing terms different from or inconsistent with those stated in this job description.  The terms of this job description may not be modified except in writing signed by the ESU #3 CEO.

 

Evaluation: Annually, by the Assistant Director of Professional Learning and the Executive Director of Professional Learning.


Compensation: Annual salary to be set by the ESU #3 Board.
