JOB DESCRIPTION

 

Job Title:  Gifford Farm Education Center Administrative Assistant

 

Job Title Code:  2101

Number of Days Worked:  12-15 Hours/Week (3 hours per day preferred)

Department:  Program Services

Program:  Gifford Farm Education Center

FLSA Status:  Non-Exempt

Immediate Supervisor:  Gifford Farm Coordinator

Staff Supervised:  None  

 

Essential Requirements:  

 

  1. No history of child abuse or negligence.
  2. Knowledge/Experience working with Google/Microsoft platforms.
  3. High School graduate, equivalent or in progress.
  4. Administrative Assistant Experience preferred.
  5. Regular and dependable in person attendance is required and is considered a condition of employment.

Essential Responsibilities: 

  1. Understand and comply with the ESU #3 Board of Education Personnel Policies and Employee Handbook.
  2. Follow the direction of the Executive Director of Programs Services/Gifford Farm Coordinator in all matters related to Gifford Farm and Gifford Farm programs.
  3. Collecting all monies received at Gifford Farm.
  4. Ability to operate office equipment such as printers/ copier, phone/fax machines
  5. Sort and distribute mail.
  6. Maintaining all records of monies received.
  7. Assisting with program billing.
  8. Answer and respond to phone calls received.
  9. Scheduling of Gifford Farm Programs.
  10. Maintain office stats/data
  11. General Office Duties:
  • Creating documents as needed.
  • Checking and responding to Gifford Farm emails.
  • Making copies.
  • Filing and organizing.
  • Mailing and mailing database updates.
  • Notify the director of the need for office supplies

   12. Attend and assist with training and review curriculum, SOGS and ESU #3 handbook annually.

   13. Routing documents for signature/approval.

   14. Greeting and managing visitors.

   15. Managing calendars.

   16. Follow the direction of the Farm Coordinator in all matters related to Gifford Farm and Gifford Farm Programs.

   17. Maintain a working knowledge of and an ability to update knowledge of program materials presented.

   18. Willingness to maintain flexibility in program scheduling and timing.

   19. Maintain a positive and friendly working relationship with other staff members.

   20. Perform other duties as assigned by the Executive Director of Programs Services/Gifford Farm Coordinator.  Example:             general maintenance /cleaning and upkeep of the property.  Employee may also help with animal chores that might                 consist of being in close proximity to farm animals.
